1. Planning : Review our objectives for the presentation & article The purpose of the article is to engage the public and persuade them to look at and / or attend the presentation and complete the questionnaire.
The purpose of the Presentation is to 1. Summarise how the NDP used criteria from previous consultations to complete the site assessments. 2. Summarise the results. 3. Present the 5 housing options to choose 1 from to be put into the NDP. 4. Persuade the public to complete the questionnaire. It was felt that we need to put more emphasis on how to understand the process and the implications of the various housing options.
2. Article review of content and ideas, and lead in articles. Andrew had prepared a draft for the WG. Some details on the timeline still need to be added. These are not known at this stage and will be added before publication. Ruth suggested a few minor alterations and additions which were accepted.
ACTION: Ruth to forward the additions and alterations to Andrew for inclusion. Instead of trying to split the article into instalments Bob agreed to write 2 or 3 lead in pieces for the weekly newsletter

3. PPT Presentation It was decided that the complexities of understanding this process and the impact on the community are such that it is necessary and only fair to give the public time after consulting on the site Meeting Housing Needs and Site Assessments Report to download the information and study it, should they want to, before being presented with the Housing Options and then asked to answer questions on these.
ACTION: Ruth Dolman to add dates for the first presentation and timescale between presentations to the agenda for the next NDP committee meeting. The group reviewed the slides and decided that a few could be removed and Bill Bloxsome made notes on alterations to be made before circulating. These alterations have an impact on the script which Andrew De La Haye will review and circulate.

ACTION: Andrew De La Haye to revise the script.
Bob Puzey recommended that the narration for the presentation should be split between Andrew De La Haye and Ruth Dolman due to the trust that Andrew has built up with the public and Ruth’s position on the NDP committee.
4. Questionnaire It was decided that the questions produced to date are too reliant on the mathematical elements of the options and more focus is needed on the implications of each option. This will be looked at in more detail at the next meeting. We also need to decide on a deadline for submission.
ACTION: Ruth Dolman to add time scales between Housing Options Presentation and deadline for submission of questionnaire to the agenda for the next NDP committee meeting.
4. Live Presentations The format considered is to play the video of the ppt with script read by Andrew De La haye and Ruth Dolman, during which time members of the public can type in their questions. At the end of the video we will have a panel to answer these questions consisting of Ruth Dolman, Andrew De La Haye, Bob Puzey, Chris Barron and Bill Bloxsome, with Ruth acting as host reading out the questions. These sessions will need to be pre bookable to control numbers. Bob Puzey agreed to look into using FaceBook and Webex for these..
ACTIONS: Bob Puzey to check the suitability of FaceBook and Webex Ruth Dolman to add dates for the live presentations to the agenda for the next NDP committee meeting. Chris Barron suggested that the Project Plan needs to be looked at in view of the various intervals between presentations and questionnaire deadlines, and agreed to do so.

5. Date for next meeting – 7pm Tuesday 12 January 2021 online.

I would like to participate in these meetings and also be included in any notes/ conclusions. We live in Priory Lea and have concerns with regards to the development that is proposed. I am also concerned that I have only recently found out about this development, which begs the question as to whether there has been sufficient public views taken into consideration. It is published to subscribers automatically when new information has been added to the NDP website.
